Creating a new patient in Xchart

This article will show you how to add a new patient into Xchart. This will also show you how to search for existing patients.

Step by step instructions below:

  1. Login to your account at Xchart.com - this will take you to the dashboard screen you see below, where you can see all your sedation cases for the month.

  2. Select the blue button that says "enter new case"

  3. Here is where you have the option to select either "create a new patient" or "search existing patients."

  4. If you want to "create new patient" continue following the steps. If you want to search for an existing patient jump to step #8.

  5. Enter the information: keep in mind even though phone number says "optional" if you add a phone number here and then open Xchart up on your phone, if a number is here you can click that patients number and it will auto populate on your phone to call that patient. This feature is good for post-op calls.

  6. Continue inputting the information on the next screen: if the appointment still has a status of proposed it will let you save the patient without entering "time and duration."

    • For "Time and duration" a couple of the valid examples are:
      ​"tomorrow @ 2pm 2"
      "nov 12 , 1400 15m"
      ​Double check the values in the green boxes to make sure it understood you correctly.
      ​If the "Save" button is disabled (did not turn blue), you're missing a required field above.

  7. If you have a status of "booked" the appointment will show up on the calendar on the day you scheduled it back on the dashboard. If your status was "proposed" you can access that on the dashboard under "not scheduled" from your dashboard to schedule for a future date.

  8. Existing patients: Simple select "search existing patients" instead of "create new patient" and enter the patients name.

    NOTE: when searching for existing patients, they can only be found, and information transferred over to the new case, if the previous sedation record was signed and finalized by the provider.
